Privacy Policy

This Privacy Policy explains how MYHAWK ("MYHAWK", "we", "us") collects, uses, stores and protects information when an accounting firm ("Firm", "you") and its staff use the MYHAWK application at myhawkapp.com (the "Service").

Who runs MYHAWK. MYHAWK is operated by Eraclis Eracleous, of Areiou Pagou 6, 4042 Limassol, Cyprus ("we", "us", the "Data Controller"). We are not currently VAT-registered. You can contact us at herculestechnologycy@gmail.com.

1. Information we collect

Account & firm information: name, email address, and password (hashed) for each user; your firm's name and settings.
Client and case data you enter: client names, contact details, deadlines, tasks, notes, invoices and payment status, and any other records you add to run your practice.
Connected mailbox information: if you connect an email account (via Google, Microsoft, or SMTP), we store the mailbox address and the credentials needed to send on your behalf (an OAuth token, or an encrypted app password). We do not read, store, or otherwise access your inbox, sent items, or any other mail in that account — our access is limited to sending messages you compose or trigger inside MYHAWK.
Content of messages sent through MYHAWK: the emails (and any invoice PDFs attached to them) that you send to your clients through the Service.
Usage data: basic technical logs (timestamps, error logs, IP address) needed to operate and secure the Service.

2. How we use your information

To provide the Service: storing your firm's records, tracking deadlines, generating invoices, and sending emails you ask MYHAWK to send.
To generate draft content (such as client email replies or reminders) using an AI model provider (Anthropic). Text you choose to process this way is sent to that provider solely to produce the requested output, and is not used by us to train any model.
To maintain and improve the Service, including diagnosing errors and preventing abuse.
To communicate with you about your account or material changes to the Service.

3. Google and Microsoft account access

If you connect a Gmail or Microsoft 365 mailbox, MYHAWK requests only the minimum permission needed to send mail on your behalf (for example, Gmail's "send email" scope). MYHAWK's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We do not request, and cannot access, permission to read your mail, contacts, or other account data.

4. Where your data is stored

Your firm's records are stored in a managed database (Supabase/PostgreSQL). Mailbox credentials and other secrets are encrypted at rest. Data may be processed on servers located outside Cyprus as part of these providers' infrastructure; in all cases it remains subject to this Policy.

5. Sharing of information

We do not sell your data. We share information only with the service providers that help us run MYHAWK (database hosting, email delivery, AI processing as described above), each bound to protect it, or where required by law.

6. Data retention

We keep your firm's data for as long as your account is active. If you close your account or ask us to delete your data, we will delete or anonymize it within a reasonable period, except where we must retain certain records to comply with legal obligations.

7. Your rights

If you are in the EU/EEA or UK, you have rights under the GDPR, including the right to access, correct, export, or delete your personal data, and to object to or restrict certain processing. To exercise any of these rights, contact us at herculestechnologycy@gmail.com.

8. Security

We use reasonable technical measures (encryption of stored secrets, access controls) to protect your information. No system is perfectly secure, and we cannot guarantee absolute security.

9. Children's data

MYHAWK is a business tool for accounting firms and is not directed at or intended for use by children.

10. Changes to this Policy

We may update this Policy from time to time. If we make material changes, we will notify firm administrators by email or inside the Service. Continued use after changes take effect means you accept the updated Policy.
